Before your first pay run

Confirm the business payroll settings, employees, their work provinces, pay frequencies and applicable 2026 payroll rules. Check eligibility, exemptions and taxable benefits with an appropriate payroll professional. Quebec can require separate provincial handling.

1. Select the correct pay period

Use the employee pay schedule and actual pay date. Tax, CPP/QPP, EI and other deductions depend on the employee, jurisdiction and period—not just an annual salary divided by 26.

Review payroll before finalizingA fictional payroll calculation review; do not display SIN or private pay details.

2. Enter the earnings and adjustments

Review ordinary wages, approved overtime, taxable benefits and any other supported pay components. Don't assume all forms of taxable pay or leave are configured automatically.

3. Review a sample calculation

Imagine the run shows $2,400 gross pay and $520 total employee deductions, giving $1,880 net pay. These are fictional arithmetic figures, not actual 2026 CRA withholding amounts. Use verified payroll tables and the app's detailed calculations for the real employee.

4. Validate before finalizing

Check each employee's province, pay date, gross pay, deductions, employer costs, net pay and year-to-date totals. Resolve validation warnings first. A finalized run is intended as an immutable record; corrections require a separate adjustment workflow rather than editing the original snapshot.

5. Review the accounting effect

Inspect the generated payroll journal, wage expense, bank payment and deductions payable. Then review the liability and remittance record so deductions aren't mistaken for company revenue.

6. Save and double-check

Keep an authorized record of the payroll summary and supporting calculations. Cashflow offers payroll calculations/workpapers; it does not automatically file or pay CRA or Revenu Québec for you. Follow the remittance guide for the next steps.
